“MINTZBERG’S MANAGERIAL ROLES”
The Case: Sameen is the Managing Director of a non-profit organization (NGO). She is the head of organization and has a very demanding schedule that required frequent travelling. Due to decreased federal grant funding, salaries of employees are suffering which results high staff turnover. Sameen needs to supervise two managers; Uzma and Ahmed, who in turn are responsible to supervise further ten staff members each. Uzma is the manager of marketing department. She spends her most of the time in performing social, ceremonial and legal responsibilities. In addition, Uzma attends employees’ special events, ribbon cutting ceremonies, signing legal documents and having a lunch with important customers. She works like a source of inspiration for her staff. She is very motivated, ambitious and expects the same spirit from her staff. Ahmed is the manager of human resource department and he has a strong background in social sciences. He is always ready to handle team conflict and is trying to resolve the conflict with disruptive bargaining or win-win agreement. Ahmed is also known as problem solver and is extremely supportive for his staff. He is very organized and has a lot of experience in union contract participation. He participates in and directs discussions within team and department. Ahmed is very capable and takes necessary initiatives when staff faces unexpected disturbances. Uzma and Ahmed analyzed their departments and both identified same sort of problem. They are worried about their staff being over-worked due to high staff turnover. In addition, Sameen has not shared budgets information with the managers, so they are having difficulty in allocating work to their staff. Sameen said, she has not received sufficient information from the finance department to complete the budgets. While according to the finance department, they have sent her all the information available to them. As a result, staff becomes dissatisfied and the managers are becoming frustrated. In the absence of key information about the departmental budget, managers are facing difficulty to advocate for their staff or to solve their problems.
QUESTIONS: Q 01: Keeping in view the Mintzberg’s managerial roles, which managerial role Uzma and Ahmed are performing? Justify your answer. (6)
Q 02: Being in a lead position, how can Sameen help Uzma and Ahmed to handle their teams efficiently? (4)

SOLUTION: ANSWER NO.1
Keeping in view the Mintzberg’s managerial roles, Uzma was performing the following roles.
In the view of above scenario Uzma was performing one of the figurehead role because according to Mintzberg the person who is handling the legitimation activities i-e singing legal documents and performing the other number of duties that’s mean is playing a figurehead role in the organization.
As we know the leader is person who is providing the directions, implementing the plans to achieve the company goals and motivating to peoples. However, in above scenario Uzma was performing the leadership role through motivation and inspiring the staffs of the organization.
As mentioned in above case Uzma was performing social ceremonies i-e ribbon cutting and having lunch with important customers so, we can say that she was also acting as a liaison for her organization. Because she done those activities which are related to liaison role.
The second part of the question was about the role of Ahmed. So, the below roles were belonging to him as under:
1. Disturbance handler
In the above scenario one role of Ahmed is disturbance handler because, he is the one handling those situations when an organization was suffering in unexpected disturbance.
Ahmed was supportive for his staff so, that’s mean he was acting as a leader in his organization. He was responding rapidly and doing the needful for the employees.
It is clearly mentioned in above third paragraph, Ahmed is very organized and has a lot of experience in union contract participation. If we will define the negotiator that mean a person who is taking part directly or indirectly important negotiations with in other departments and their team members of his organization is called negotiator. So, he was also as a negotiator for his organization.
Regarding the second answer Sameen should follow the POLCA functions.
The primary stage of being a leader how to lead an organization is planning. Sameen should know about the critical contingencies facing by Uzma and Ahmed and also by the organization in the shape
of funding issue by the federal government, staff salaries. Sameen must plane for alternative resources to fix these issues.
In organizing section Sameen should follow the division of work i-e what are the main obstacles and how it will be done and who is to do it. Sameen need to be determine what are the tasks needing to be done in timely manners. As I mentioned in first line about the division of work she should organize their responsibilities according to their departments and their job capabilities.
As a leader, she should resolve the conflict between staffs and the organization. She should command both parties with the high patience. She can use the social and informal resources to achieve the organizational goals without any hurdle. With the use of human skill’s, and technical skills, she can motivate her staff.
Sameen should control over whatever she planes, organize, and lead. She should have monitored how they are doing their jobs activities, are they following the policies and procedures of the organization? And how they are implementing the organizational planes. She should know about the performance of the employees its should not be deviate from the organizational standards. She should look over the standards of the organization because it will effect on the goodwill of an organization.
After other first four points, Sameen should make assure all the activities done with high quality of work with good ethics in timely manners to achieve the organizational goals.
