Descon Systems Private Ltd. want to build a Connected Workplace that enables Descon employees to work alone or in small groups at workstations or in informal work areas. Similar to many other organizations, Descon came to the conclusion that their workplace environment was at odds with the way they worked. People were seldom at their desks. Meeting spaces were in short supply. Communication was ever more variable-face-to-face, instant messaging, desktop video, phone, e-mail. And work hours shifted dramatically as the need to work globally increased. The changing workplace is motivated by the organizational issues and facilitated by technologies which are sustained mobility and easy access to information. These pressures and opportunities may not result in a specific new workplace model. A flexible, collaborative workspace could improve productivity and increase employee satisfaction while reducing real estate space and costs by increasing user density from “Descon Connected Workplace that Enhances the Work Experience as well as Cut Costs”. Your main key goals by adopting connected work place are: support collaboration, decrease real estate costs, cut infrastructure costs and accommodate different work style. With these changes in mind, Descon now wants to create the “Connected Workplace.” Dear student, you have to identify the workplace solutions and enabling technologies needed for the organizational change.

People are managed through an organizational structure. This hierarchical structure is based on the four cornerstones of management:
– Delegation
– Authority
– Responsibility
– Supervision.
Delegation bestows authority, and authority produces (and requires) responsibility. Both authority and responsibility require supervision, and effective supervision requires a suitable organizational structure:

Organization as a System

It helps to think of organizations are systems.
Simply put, a system is an organized collection of parts that are highly integrated in order to accomplish an overall goal. (Page 194)
Systems have inputs, processes, outputs and outcomes. To explain, inputs to the system include resources such as raw materials, money, technologies and people.
These inputs go through a process where they're aligned, moved along and carefully coordinated, ultimately to achieve the goals set for the system. Outputs are tangible results produced by processes in the system, such as products or services for consumers.
The organization is depicted by its organizational charts, job descriptions, marketing materials, etc.
The organizational system is also maintained or controlled by policies and procedures, budgets, information management systems, quality management systems, performance review systems, etc.

Structural Dimensions

The organization's structure, or design, is the overall arrangement of the organization's various roles, processes and their relationships in the organization.
The design of an organization is a means to accomplishing the organization's overall goal - the structure is not an end in itself.
In systems theory terms, the design ensures that the appropriate inputs go through the necessary processes to produce the required outputs to produce the intended outcomes.
������ Centralization -the extent to which functions are dispersed in the
organization, either in terms of integration with other functions or geographically
������ Formalization - regarding the extent of policies and procedures in the organization
������ Hierarchy - regarding the extent and configuration of levels in the structure
������ Routinization - regarding the extent that organizational processes are standardized
������ Specialization regarding the extent to which activities are refined
������ Training - regarding the extent of activities to equip organization members with knowledge and skills to carry out their roles.

8. Communications management plan

A communications management plan is a document that provides:
• A collection and filing structure that details what methods will be used to gather and store various types of information. Procedures should also cover collecting and disseminating updates and corrections to previously distributed material.
• A distribution structure that, details to whom information (status reports, data, schedule, technical documentation, etc.) will flow, and what methods (written reports, meetings, etc.) will be used to distribute various types of information. This structure must be compatible with the responsibilities and reporting relationships described by the project organization chart.
• A description of the information to be distributed, including format, content, level of detail, and conventions/definitions to be used.
• Production schedules showing when each type of communication will be produced.
• Methods for accessing information between scheduled communications.
• A method for updating and refining the communications management plan as the project progresses and develops. The communications management plan may be formal or informal, highly detailed or broadly framed, based on the needs of the project. It is a subsidiary component of the overall project plan.

Change management is a structured approach to shifting/transitioning individuals, teams, and organizations from a current state to a desired future state. It is an organizational process aimed at helping employees to accept and embrace changes in their current business environment in project management, change management refers to a project management process where changes to a project are formally introduced and approved. Change management as the utilization of basic structures and tools to control any organizational change effort. Change management's goals are to minimize the change impacts on workers and avoid distractions.

 

 

 

 

 

 

Organizational Change

  1. Mission changes,
  2. Strategic changes,
  3. Operational changes (including Structural changes),
  4. Technological changes,
  5. Changing the attitudes and behaviors of personnel

 

Change Management processes may include creative marketing to enable communication between change audiences, but also deep social understanding about leadership’s styles and group dynamics. Organizational Change Management aligns groups’ expectations, communicates, integrates teams and manages people training. It makes use of performance metrics, such as financial results, operational efficiency, leadership commitment, communication effectiveness, and the perceived need for change to design appropriate strategies, in order to avoid change failures or solve troubled change projects.

Successful change management is more likely to occur if the following are included:

  1. Benefits management and realization to define measurable stakeholder aims, create a business case for their achievement (which should be continuously updated), and monitor assumptions, risks, dependencies, costs, return on investment, dis-benefits and cultural issues affecting the progress of the associated work.
  2. Effective Communications that informs various stakeholders of the reasons for the change (why?), the benefits of successful implementation (what is in it for us, and you) as well as the details of the change (when? where? who is involved? how much will it cost? etc.).
  3. Devise an effective education, training and/or skills upgrading scheme for the organization.
  4. Counter resistance from the employees of companies and align them to overall strategic direction of the organization.
  5. Provide personal counseling (if required) to alleviate any change related fears.
  6. Monitoring of the implementation and fine-tuning as required.

 

 

 

 

Technologies used for organizational change:

 

  • The fast diffusion of Information and Communication Technologies (ICT) in firms, allowed notably by the declining price for its use, seems to favor the productivity of the firm.
  • Workers are risk averse and their overall utility is derived from incentives, motivations and identity. Insiders should act in the firm’s best interest so their ideal effort is in line with what expect the firm.
  • In the context of technological and organizational changes, Internet use by workers is increasing. It, consequently, gives workers more opportunities to shirk, like the use of Internet for personal purpose instead of working.
  • The principal can invest in incentives in order to induce workers to operate in the interest of the firm. Incentives are provided to workers through two options, a negative incentive (monitoring) and a positive incentive (wage bonus, promotions). To be effective, the monitoring needs to be combined with penalties when it shows that the work is substandard. The positive incentive option rewards workers for effort by means of monetary incentives like salary revision or bonus. As workers exert effort not just to maximize their pay but also to affect future contracts, the firm can also use promotions by acting on the career concerns of workers.
  • As technological changes increase workers’ autonomy, the direct supervision becomes more difficult, so firms need to mobilize innovative modes of monitoring. In the current context of strategies like the just-in-time one, the stress of the time limit can be combined with the authority of the superior.
