TOPIC “Claim Letters” Background;
A letter sent by a customer to a business or agency to identify a problem with a product or service. Typically, a claim letter opens with a request for adjustment, such as a refund, replacement, or payment for damages. Task;
a) Discuss any five requirements of writing an effective Claim Letter. (5 Marks)
b) You are supposed to write a claim letter to ABC Company to get refund for a damaged piece of decoration/ornament. (15 Marks)
Instructions:
Your letter must contain;
 Date and Inside Address (5 Marks)
 Body (8 Marks)
 Complimentary Close (2 Marks)

Dear all,

A letter of claim written by a person (claimant) who ask for reimbursement for the damaged item, incomplete or unsatisfactory service provided.

 

A person claim could be many kinds according to the item or service.

  1. Faulty product
  2. Health or life insurance claim
  3. Car or property insurance claim
  4. Claim against theft or fire
  5. Accidental claim
  6. Deposit refund claim and many more.

Points to remember

1) Be respectful and courteous

2) Your claim must be in the valid time frame

3) Fill out necessary form to organize information

4) Provide purchase receipt or contract agreement.

To write a claim letter we have to follow the procedure as in lesson 32 ??

Lesson 32 gives information about Business Writing. Lesson 34 throughs more light on Claim Letters. Read Page 143 from hand out.

Dear Umer,

If I am not mistaken, please read below my points. MAKE SURE WRITE IN YOUR WORDS. More points can be grasped from handout page 143.

Five requirements are:
1) Claim letter must be written in courteous words
2) To the point highlighting what had went wrong
3) Details provided as per bill no, date and place of purchased
4) You do not show your anger nor threaten in the claim letter.
5) Be specific you need, replacement, repair or refund your amount
