Communicating negative news is a fact of life for all business professionals, from rejecting job applicants to telling customers that shipments will be late to turning down speaking invitations. Bad news messages are challenging to write because we know our readers will not be happy to receive the news. These messages say "no" to the reader:

No, you will not get your loan

No, you aren't being hired

No, you didn't get the scholarship

Refusing request for information When people ask you for information and you can’t honor the request, you may answer with either the direct approach or the indirect approach. Say that you’ve asked a company to participate in your research project concerning sales promotion. However, that company has a policy against disseminating any information about projected sales figures. The following letter conveys the negative message without sounding offensive: We at XYZ Co. appreciate and benefit from the research of companies such as yours. Your study sounds interesting. (Buffer is supportive and appreciative) Our board requires strict confidentiality of all sales information until quarterly reports are mailed to stockholders. We release press reports at the same time the quarterly reports go out, and we’ll be sure to include you in all our future mailings. (Body fully explains reason for decision without falling back on a blanket reference to company policy) Although we cannot release projected figures, we are more than willing to share information that is part of the public record. I have enclosed several of our past earnings reports for your inspection. We look forward to seeing the results of your study. Please let us know if there is any additional way we can help. (Close is friendly, positive, and helpful)

You can develop negative messages that reduce the stress for everyone involved and improve the effectiveness of your communication efforts.

When we listen the Listen the Negative News We feel stress in our Mind to solve this and we start thinking about this message and share to our colleagues .we think all happens in the past which is relate to this messages. People are Attentive on their sentiments therefore give them good news at start they are easier to control the situation of Bad news.

Because of Negative news people get worried and they have not work with attentively for example worker say to us that they want to loan we say that word “ No”, promotion issues all that related issue “No” word disappoint our staff. So, our business get destroy and get loss. In Many ways that we use and save our Company and business from destroying are as following: -

  • Carry the Bad News.
  • Get acceptance for it
  •  Keep  as much goodwill a possible with your audience
  • Keep Good Picture of your company or organization
  • Less  or Remove  the need for future accordance on the matter

When we plan our message we know that what is the facts or characteristics our report. In the messages we just ignore the facts that our audience do not want to listen and that’s for irritate our audience. Don’t be forgetting our goal. In the massage only the relevant idea is relate be avoid the irrelevant thoughts and facts.

We also know the key term of messages planning. Our audience gets the purpose that actually we want to say in the message.

In this step, When we get the Bad report keep it mint that our audience not happy to hear like this news and get disappoint with you. So, convey your message method, you language, you attitude must be simple or polite to the audience.

  1. 3.      Complete your Message

When we complete message, we should be revise the whole report. That every word is meaningful and report is clear, affective that you reader easier to convey your message and well-known your purpose.
